Data mailbox applications and notifications

The following services are currently available:
- Application to set up a data mailbox
- Application to invalidate old and validate new data mailbox access details
- Appointment of person authorised to access data mailbox
- Notification of invalidation of an authorised person’s access details (cancellation of appointment)
- Application to temporarily disable data mailbox (for mailboxes set up on request)
- Application to enable data mailbox (for mailboxes set up on request)
- Application to grant the official status of a public authority’s data mailbox
- Application to end the official status of a public authority’s data mailbox
- Notification of invalidation of access details of a statutory body or senior officer of public authorities
- Notification of permission to deliver documents from a data mailbox (granted to a legal entity/entrepreneur/individual using the mailbox)
- Notification of cancellation of the permission to deliver documents from a data mailbox (granted to a legal entity/entrepreneur/individual using the mailbox)
The counter clerk at the post office providing Czech POINT services will ask you for identity document, fill in the application or notification form online, print it and ask you to sign it.
Application to set up a data mailbox
You can file an application to set up a data mailbox at any counter providing Czech POINT services. Your data mailbox will be set up in three days after acceptance of your application by the data mailbox information system. The access details will be sent to you by letter which will be delivered to the addressee only. Rejected applications will be sent to the Ministry of the Interior for decision.
Application to invalidate old and validate new data mailbox access details
You can apply for invalidation of lost or stolen access details to your mailbox and validation of new ones. The old access details will be invalidated with immediate effect by personnel at any post office providing Czech POINT services, and an email will be sent automatically to the activation portal for generation of new access details.
Appointment of person authorised to access data mailbox
You can designate a person authorised to access and operate your mailbox according to the authorisation instructions. The designated person will receive a letter with the mailbox access details. The letter will be delivered to the addressee only.
Applicants acting on behalf of a legal entity or public authority have to produce a certificate of their power to do the act (certificate of incorporation, power of attorney, etc.).
Notification of invalidation of an authorised person’s access details (cancellation of appointment)
You can invalidate the access details of any person you have authorised to access your mailbox.
The system will send an invalidation notice both to the authorised person whose access details have been invalidated and to the applicant.
Application to temporarily disable data mailbox (for mailboxes set up on request)
Mailboxes set up on request can be temporarily disabled. This does not cancel the mailbox which can be enabled again on request.
Your mailbox will be disabled at the latest by the third working day after application.
Application to enable data mailbox (for mailboxes set up on request)
Temporarily disabled mailboxes set up on request can be enabled again. Mailboxes disabled twice in the past year on request must wait at least one year after the last disabling before they can be enabled again.
Your mailbox will be enabled in three working days after application.
Application to grant the official status of a public authority’s data mailbox
Mailboxes of individuals or legal entities acting as a public authority can be granted the official status of a ‘public authority’s data mailbox’. As such they can be used with all options available for this type of mailboxes.
The applicant must produce a certificate of their status as a public authority.
The application will be sent to the Ministry of the Interior for decision.
Application to end the official status of a public authority’s data mailbox
Individuals or legal entities that have lost the competence to act as a public authority must immediately notify the Ministry of the Interior and ask for ending the official status of their mailbox(es). They can do so at any Czech POINT outlet.

Notification of invalidation of access details of a statutory body or senior officer of public authorities
Public authorities can deny access (invalidate access details) to their mailbox(es) to any of their statutory bodies - legal entities or senior officers.
A single form can be used to apply for either of the following services:
- Cancellation of an authorised person’s appointment; and
- Cancellation of an authorised person’s appointment & appointment of a new authorised person.
Notification of permission to deliver documents from a data mailbox (granted to a legal entity/entrepreneur/individual using the mailbox)
You can use this service to take advantage of the possibility to use your data mailbox to deliver documents as a legal entity/entrepreneur/individual. Only invoices and similar requests to pay were accepted for communication until 30 June 2010. Starting from 1 July 2010, all restrictions on the content of the communicated messages were lifted.
Notification of cancellation of the permission to deliver documents from a data mailbox (granted to a legal entity/entrepreneur/individual using the mailbox)
You can use this service to notify your partners that you will no longer be delivering documents from the notified data mailbox as a legal entity/entrepreneur/individual.
Pricelist
Services related to the data mailbox information system are provided free of charge. The only exception are repeat grants of mailbox access details within a 3-year period, costing CZK 200 each.
